Job Title: Customer Service & Logistics Assistant
Report to: VP, Operations
Role Purpose: Support Customer Service & Logistics Co-ordinator to deal with customer related information and ensure satisfaction of all customer demands.
Salary: £35,000-£40,000 DOE
Location: Didcot, Oxfordshire, OX11
Key Responsibilities

  • Assist with customer communications relating to orders, deliveries and returns to provide world class customer services
  • Provide support in coordinating all resources and logistics associated with clinical procedures
  • Continuous review of improvements to process
  • Ensure customer is kept informed about progress of their order
  • Management of couriers, ensuring product is dispatch in most cost effective manner and will arrive in good time for the operation
  • Ensure export of product is managed in line with the requirements of the country of receivership including all export documentation
  • Ensure all documentation is present and dispatched to customer with product
  • Interface with existing customers to manage repeat orders and customer stocks where applicable
  • Manage the return of products coordinating all aspects of the returns process
  • Maintain stock levels at all locations (Didcot, Germany, 4 x consignment locations) and assist with shipping documents and customs clearance
  • Assist with the management of expiring stock at all locations
  • Raise sales invoices and credits
  • Assist with monthly reporting for Finance and other departments as required
  • Cover duties of Customer Service and Logistics Co-ordinator when required (Refer to Customer Service and Logistics Co-ordinator job description)
  • Manage allocation of stock to ensure best possible customers satisfaction
  • Facilitate all communications internally and externally regarding sizing of products
  • Development and maintenance of all SOP’s relating to the function to ensure compliance to regulatory requirements and Best Practice
  • Agree acceptable procedure dates through negotiation with customer and production department
  • Organisation of proctor attendance at cases when needed as indicated by sales team to attend
  • Maintain KPI’s that provide effective reporting of performance in the critical aspects of customer
  • At management discretion you may be assigned other tasks and asked to assist in other areas of the business

Essential Skills, Knowledge, and Experience

  • Excellent IT skills using Microsoft packages
  • Excellent customer service skills, including a Previous experience of working within a customer facing role
  • Strong organisation skills with the ability to quickly identify priorities and progress them
  • Ability to communicate effectively and confidently with people at all levels both internally and externally, around the world
  • Ability to learn quickly in this fast-paced role
  • Experience in dealing with import and export of goods through customs

Desirable Skills, Knowledge, and Experience

  • Previous experience of working within the medical devices industry
  • Experience using Dynamics Business Central (Navision)
